BOOKING TERMS AND CONDITIONS | ACTIVITÉS ÉCO PLEIN AIR / QUÉBEC PURE EXPÉRIENCE

BOOKING CONDITIONS FOR GUIDED ACTIVITIES

Registration:

A 100% full payment is required to book an activity.

Cancellation:

Activités Éco Plein Air / Québec Pure Expérience will collect the following fees in all cases of booking cancellation requested by the participant, regardless of the motive, including terrain conditions, weather, natural disasters, illness or injury, personal reasons, etc.

  • More than 16 days before departure: 100% refundable.

  • 15 days or less before departure: 100% non-refundable.

CONDITIONS FOR TRIPS AND WEEKEND GETAWAYS

Registration:

A 25% deposit is required to book a trip. This deposit becomes non-refundable once the trip status is confirmed by email. The remaining balance will be payable 45 days prior to departure. Travelers registering less than 45 days before departure must pay the total amount upon registration.

Cancellation:

Activités Éco Plein Air / Québec Pure Expérience will collect the following fees in all cases of booking cancellation requested by a traveler, regardless of the motive, including the occurrence and/or apprehension of political unrest, acts of terrorism, natural disasters, illness or injury, personal reasons, etc.

  • More than 46 days before departure: Any amount exceeding the booking deposit, unless the departure has not yet been confirmed by email by the agency Activités Éco Plein Air / Québec Pure Expérience.

  • From 45 to 31 days before departure: 50% of the package cost per person.

  • 30 days or less before departure: 100% of the package cost per person.

Package Cost Increases and Other Modifications Prior to Booking:

This document was printed several weeks before the departure date, and Éco Plein Air reserves the right to make changes without notice regarding destinations, prices, hotels, or services. All prices are calculated in Canadian dollars (CAD).

Insurance:

We strongly advise you to purchase a multi-risk travel insurance policy covering risks generally associated with travel, such as: life insurance, medical and hospitalization expenses, loss and theft of baggage, cancellation insurance, evacuation, and accident insurance.

SPECIAL CONDITIONS FOR THE “CHÈVRES DE MONTAGNE” WEEKEND AT VALLÉE BRAS-DU-NORD

Climate change is very real. Weather conditions have been unpredictable and challenging for several years. In the event of extreme conditions (such as rain and lack of snow), the activity will still be maintained, and alternative outdoor sports activities will be provided. Our organizations cannot absorb a 100% refund for the entire weekend and cottage rentals. By being open to adapting to a multi-sport weekend in the event of extreme weather (winter hiking, microspike trekking—the sector is full of incredible trails), you will enjoy a memorable all-inclusive stay.

ACCEPTANCE OF RISK AND MANDATORY FORMS

PARTICIPATION AND HEALTH FORMS

Participation in any activity or stay organized by Activités Éco Plein Air / Québec Pure Expérience is strictly conditional upon the mandatory signing of participation documents. Prior to departure, each participant must complete and sign an Acceptance of Risk Form (including the acknowledgement of inherent risks associated with outdoor activities) as well as a Health Status Form (intended to inform the guide of any medical condition relevant to the group’s safety). These forms are designed to ensure the safety of both the participant and the group and must be submitted to the guide or the organization before the activity begins. Failure to complete and sign these documents will result in the refusal of participation in the activity, without any possibility of a refund.

LEGAL OBLIGATIONS IN OTHER JURDICTIONS

The participant acknowledges that depending on the trip destination (e.g., Western Canada, United States, Europe, etc.), local legal requirements may vary. Consequently, for certain specific activities or locations, the participant may be required to sign a document designated as a Liability Waiver by a third-party entity (local operator, landowner, etc.), in addition to the Acceptance of Risk Form provided by Éco Plein Air / Québec Pure Expérience. Signing these additional documents is a contractual obligation for the participant. The participant agrees to read, understand, and sign any Release or Waiver required by the local provider in order to participate in the activity.

FLIGHTS

Each participant is responsible for booking their own flight to the trip’s starting city. For all trips, we will set a meeting time and location at the airport on the first day. If you wish to extend your stay or arrive early, please inform us so we can assist you with your travel arrangements.

SINGLE ROOM SUPPLEMENTS

For solo participants who agree to share a room with a person of the same sex: if no other solo participant of the same sex is available, Activités Éco Plein Air / Québec Pure Expérience will cover the single room supplement fee.

HEALTH AND PHYSICAL FITNESS CONDITIONS

Participants must be in good health and active. It is essential that individuals with health issues inform us well in advance of departure. Access to hospital services for serious issues can be difficult, and a medical evacuation can be long, complex, and costly.

PARTICIPANT RESPONSIBILITIES

Participants have certain responsibilities toward Activités Éco Plein Air / Québec Pure Expérience and other participants. They are responsible for: understanding the conditions outlined in the itinerary, choosing a trip suited to their fitness level and physical condition, and preparing accordingly. During the trip, the participant also agrees to play an active role in risk management by adopting a preventive attitude toward themselves and those around them. A participant may be excluded from the trip if the organizer deems that their presence poses a risk to their own safety or compromises the well-being and enjoyment of the other participants.
